Job Description
Operations support and advice: Provide complex specialist operations support, advice and information to address operational issues in the business | Change programmes: Play the role of SME on operational change and efficiency programmes | Continuous improvement: Continuously identify and give input on ways to improve operations in the business | Compliance and Risk Management: Ensure that all team activities are in adherence to relevant control and compliance requirements, and quality standards .
Accountability: Business process design (30%)
Outputs to deliver this accountability:
  • Map processes using BAGL approved mapping standards, including facilitating, designing and documenting process decomposition diagrams and defining and documenting business processes to cover the total life cycle of the product or service covered;
  • Support process owners in developing a portfolio of “as is” processes and conduct ongoing assessments and provide recommendations on the “to be” processes
  • Assess the risk and potential impact of any process changes requested from a systems, control and operational risk perspective. Highlight the risks to the process owners. Identify where systems designs need to be altered in order to integrate the business solution and highlight to the process owners.
  • Ensure mapped processes are correct and up-to-date on the BAGL process repository (currently iServer) and accessible to all relevant stakeholders;
  • Interact with the risk, compliance and legal support stakeholders within WIMI to ensure that process changes meet control and other requirements;
  • Provide consultation in the product development process by advising on the most appropriate operational processes to support the product's implementation. Interact with the impacted operations processing area to obtain their input and approval for the final product process.
Accountability: Business process excellence (30%)
Outputs to deliver this accountability:
  • Monitor process performance against design objectives, including process level controls, and escalate processes that are performing outside of acceptable parameters;
  • Monitor and escalate risk, irregularities and non-compliance to the process owner;
  • Conduct analysis to ensure that published processes reflect the current work methods employed, as well as to understand required changes to inputs, handoffs and outputs of the process;
  • Recommend areas for improvement in processes to increase efficiency by improving turnaround time and quality, improve productivity, create capacity and improve process reliability and customer satisfaction;
  • Review process maps to ensure that all regulatory, compliance, and operational risk control elements are incorporated and highlighted;
  • Review all processes on an annual basis (at least) and identify areas for potential improvement;
  • Engage with technical and business stakeholders to conduct time and motion studies to test the processes in place. Identify areas for potential productivity improvement based on the results.
Accountability: Stakeholder value proposition (20%)
Outputs to deliver this accountability:
  • Support process owners by mapping operational processes for the execution of transactions or activities;
  • Facilitate process design workshops with participants from the processing areas and the process owners;
  • Interact with product and process owners to conduct needs analysis to understand the requirements, inputs, handoffs and outputs of the process.
  • Support the product development process by advising on the most appropriate operational processes to support the product's implementation. Interact with the impacted operations processing area to obtain their input and approval for the final product process;
  • Support business process owners and users in the business area to increase their level of understanding around the Group standards for policy, process and procedure documents by conducting formal and informal briefing sessions.
  • Participate in the quarterly BAGL Policy and Procedure user group forum to refine the policy and procedure taxonomy (classification structure).
  • Support the person in the area responsible for service level agreement by providing input on the process requirements from the business.
  • Provide input to the Process forum on the training requirements from business, enhancements required and areas for improvement in the documentation and publication of policies and procedures;
  • Maintain the integrity of the business unit’s operating model by vetting, refining and together with the business owner, signing off all processes relevant to the operating activities of the business unit;
  • Support process owners to assess the risk and potential impact of any process changes requested from a systems, control and operational risk perspective. Highlight the risks to the process owners. Provide consultation where systems designs need to be altered in order to integrate the business solution and highlight to the process owners.
  • Perform all other duties as reasonably assigned.
Accountability: Policy and procedure support (20%)
Outputs to deliver this accountability:
  • Act as point of contact for the Policies and Procedures helpdesk for escalated issues and to update supporting processes, policies and procedure documentation based on gaps identified by the helpdesk.
  • Act as the Subject Matter Expert on the content of the policies, procedures and processes in the portfolio by providing information to any person in the business unit requesting clarification on the requirements;
  • With content input from business process owners, approve circulars to ensure effective communication of policy, process or procedure changes. Ensure that circulars are published before changes become effective;
  • Identify the impact of process changes on role descriptions of staff that execute the work within the process and make the business process owner aware of the impact.
  • Check training manuals and quick reference guides developed by the business process owners against the related policies and procedures to ensure consistency of the message.
  • Track and monitor that policy or process changes are updated in all components that are published including the policy document, process maps, procedure document and supporting material including job aids and reference guides.
  • Develop and maintain all process, policy and procedural documentation according to Group standards, tools and supporting methodologies in support of the business unit's service offering;
  • Support the business process owner to repackage existing policies and procedures to meet the new standards. Depending on the level of support required this could include providing guidance on the requirements or actual editing work;
  • Identify gaps in the documentation available for each part of the business area's service offering and create action plans with the business process owners to address the gaps.
