Position Overview

IDOC is looking to hire an Office Associate that will serve as a secretary in one of our facilities providing assistance to the Shift Supervisor and office support. The ideal candidate should have previous secretarial experience in a fast-paced, confidential office. If you are detail oriented and have the ability to multi-task in stressful situations, this position is for you. We strongly encourage all qualified individuals to apply.

Job Responsibilities

  • Serves as secretary to the Shift Supervisors.
  • Keyboards complex charts, documents, forms, memoranda, and letters.
  • Organizes and maintains filing systems for correspondence and security personnel.
  • Serves as clerical support to the Administrative Major / Unit Manager.
  • As a receptionist answers the phone.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of high school and two (2) years office experience.
  • Requires ability to keyboard accurately at 45 wpm.

Preferred Qualifications (In Order of Significance)

  • Prefers at least three (3) years of experience working as a secretary providing office support and assistance in a fast-paced private or public organization.
  • Prefers at least three (3) years of experience composing complex and confidential correspondences and/or documents.
  • Prefers at least three (3) years of experience organizing and maintaining a complex filing system.
  • Prefers at least three (3) years of experience utilizing Microsoft Office Word, Excel, and Outlook, or similar software.
  • Prefers at least one (1) year of working experience in a correctional setting.
  • Prefers at least one (1) year of experience serving as a receptionist in an office setting that includes answering telephones and routing calls to appropriate entities, opening, sorting, and distributing mail, responding to inquiries in person and/or electronically, and ordering office supplies.
  • Prefers the ability to multi-task.
  • Prefers the ability to independently prioritize assignments.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy.
